Hinsdale United Methodist Church (HUMC) is looking to hire an Administrative Assistant (AA). The AA is fundamental to the smooth and effective operation of HUMC. The person filling this role provides key support to the Senior Pastor, her staff, and church administrative leadership. Ability to coordinate across groups, communicate in a professional way, offer a friendly “face of the church”, and effectively fulfill a variety of tasks will lead to success in this role. The position requires confidentiality and discretion in communications, strong professional and ethical standards, and the ability to manage multiple projects.
More specifically, the AA will provide administrative support (reception, mailing, filing, etc.), coordinate use of church facilities by internal and external groups, including in-person and virtual events, coordinate and process all incoming communications, organize and prepare weekly bulletin and worship materials, maintain member database, assist Finance Team, Director of Communications, and other staff/church committees as needed, and perform any additional tasks as directed by Senior Pastor. Some work might be performed remotely. This is a part-time salaried position, initially for 20 hours a week yet subject to change. HUMC intends the selected person to start as soon as possible. College degree is not required. At least 3 years of experience in an office environment with similar responsibilities is required.
The applicant to this position must have excellent working knowledge of key administrative software including Microsoft Office suite of products (Word, Excel, PowerPoint, and Outlook), typing skills, communication skills (oral and written), interpersonal skills (works well as part of a team, active listener and problem solver, recruits and supports volunteers to help with large tasks), time-management skills and flexibility required to work on multiple projects, and ability to overcome unexpected issues and disruptions. Must also be proficient in Windows and Internet browsers (Google Chrome and/or Explorer), proficient using and editing files using cloud platforms such as Google Drive, OneDrive, and Dropbox, and have previous experience using databases and church management software, scanning documents and editing scans for use, using and managing online calendar, and using Zoom video conferencing software. Working knowledge of Elexio database software and online banking software and processing online deposits, and previous experience creating and using online forms is preferred.
